At Novaplexes, we strive to deliver the highest quality of digital services, including web development, SEO, digital marketing, AI automation, and more. Due to the bespoke and labor-intensive nature of digital agency work, our refund policy varies depending on the specific service provided and the stage of the project. By engaging Novaplexes, you agree to the terms outlined in this policy.

2. Web Development & Design Services

Web design and development projects are milestone-based and require extensive time, research, and coding. Therefore, refunds are structured as follows:

  • Initial Deposit: For project-based work, we typically require an upfront deposit (usually 50%). This deposit covers the initial discovery, strategy, wireframing, and environment setup. This deposit is strictly non-refundable once any actual work or strategy planning has commenced.
  • Mid-Project Cancellations: If a project is cancelled or postponed by the client after the initial design concepts have been approved, we retain the initial deposit and reserve the right to invoice for all work completed up to the point of cancellation.
  • Post-Launch: Once a website or digital product is approved and launched on your server or live domain, no refunds will be issued under any circumstances.

3. SEO & Digital Marketing Services

Search Engine Optimization (SEO) and Digital Marketing (PPC, Social Media) are ongoing services that require continuous effort, monitoring, and optimization.

  • No Guarantees: While we use industry best practices to achieve the best possible results, Novaplexes cannot guarantee specific search engine rankings, sales volumes, or ROI, as these depend on third-party algorithms (like Google) and market conditions. Therefore, we do not offer refunds based on performance expectations.
  • Monthly Retainers: SEO and marketing services are billed month-to-month or via fixed-term contracts. Payments for the current month's retainer are non-refundable.
  • Cancellation Notice: Clients must provide a written notice of cancellation at least 15 days before the next billing cycle. If notice is given later than 15 days, the client will be billed for the subsequent month.

4. Third-Party Costs (Non-Refundable)

During the course of delivering our services, Novaplexes may purchase assets or services on your behalf. These costs are completely non-refundable and include, but are not limited to:

  • Advertising spend paid directly to platforms like Google Ads, Meta (Facebook/Instagram), or TikTok.
  • Domain name registrations and SSL certificates.
  • Third-party web hosting fees or cloud server costs.
  • Premium themes, premium plugins, stock images, or software licenses purchased specifically for your project.

5. Hourly Work and Consulting

Any services billed on an hourly basis, including consulting, emergency bug fixes, server migrations, or technical audits, are strictly non-refundable. You are paying for the time and expertise of our engineers and strategists, which cannot be returned once expended.

6. "No-Show" and Communication Delays

Successful digital projects require timely feedback and collaboration from the client. If a project stalls for more than 30 days due to a lack of communication, feedback, or content provision from the client's side, Novaplexes reserves the right to put the project on hold or terminate it entirely. In such cases, no refunds will be issued for funds already paid, and a remobilization fee may apply to restart the project.

7. How to Request a Cancellation

If you wish to cancel an ongoing service or project, you must submit a formal request in writing to your dedicated Account Manager or our billing department at billing@novaplexes.com. Telephone requests will not be considered valid for cancellation.

Upon receiving a valid cancellation request, we will halt all further work, calculate any outstanding balances for work already completed, and issue a final invoice if applicable.

8. Policy Modifications

Novaplexes reserves the right to modify or update this Refund & Cancellation Policy at any time without prior notice. The updated policy will be effective immediately upon posting to this website. We encourage you to review this page periodically.
